The full operating cost of plumbing call coverage

A monthly answering fee does not capture the office time required to review requests, maintain scripts and resolve unsuccessful handoffs.

01

The decision to make first

A monthly answering fee does not capture the office time required to review requests, maintain scripts and resolve unsuccessful handoffs. Compare the service fee with the complete workflow effort, including setup, usage, staff review and any separately agreed connected-system costs.

02

What the handoff should contain

List recurring charges, one-time work, excess minutes, optional messaging, integration subscriptions and the staff tasks that remain after a call.

03

Suggested wording to approve

Example wording: “The answering service captures and routes the request. Your team still confirms the work, follows up with customers and maintains the business information.”

04

Test the difficult case

Build an example month from actual office tasks and test how costs change when volume or follow-up effort increases. Do not count every answered call as eliminated staff labor or assume a software subscription includes unlimited custom integration maintenance.

05

Worked example

Fictional example: A hypothetical plan has a monthly fee plus staff review time and an optional connected-system subscription. Compare the total with the existing workflow using the same volume assumption. If staff still make every callback, do not count that labor as eliminated simply because the first conversation was handled by an assistant.

06

Review it in operation

Review cost alongside usable handoffs and customer outcomes, because a low call price can still create expensive manual cleanup.
