The decision to make first
A pilot can create surprise charges if the included allowance and the behavior after it is exhausted are never agreed explicitly. Set the included minutes, excess-minute rate, maximum approved extra spend and fallback behavior before forwarding customer calls.
What the handoff should contain
Record the budget owner, usage review schedule, notification threshold, approved cap and the route used if additional usage is not authorized.
Suggested wording to approve
Example wording: “The pilot has a defined usage allowance and agreed extra-use budget. We will confirm what happens at the cap rather than treating additional calls as unlimited.”
Test the difficult case
Test threshold notices and the agreed cap behavior with controlled usage records before relying on them during a busy period. Do not promise a hard billing cap unless the operational controls actually enforce it, and do not silently interrupt the only customer contact route.
Worked example
Fictional example: The agreed pilot budget permits a defined amount of excess usage and requires a notice before the cap. In a controlled test, verify who receives that notice and what happens next. If the cap cannot be enforced automatically, the offer must describe the actual review process rather than advertise an unsupported hard stop.
Review it in operation
Review usage against the cap early enough for the business to choose a different allowance or fallback deliberately.
