Estimating monthly plumbing answering minutes

A call-count estimate alone does not show whether a minute-based answering plan fits the mix of short questions and longer service inquiries.

01

The decision to make first

A call-count estimate alone does not show whether a minute-based answering plan fits the mix of short questions and longer service inquiries. Estimate separate call categories using your own representative durations, then add a deliberate buffer rather than assuming every call is average.

02

What the handoff should contain

Record category volumes, connected minutes per call, expected seasonal variation, included allowance and the billing increment in the proposed agreement.

03

Suggested wording to approve

Example wording: “The estimate is a planning scenario. Actual usage depends on connected call time and the agreed billing rules, so the pilot should compare forecast and measured minutes.”

04

Test the difficult case

Calculate a quiet month, a normal month and a higher-volume month, checking whether each remains within the approved usage budget. Do not treat the largest advertised allowance as the cheapest option without considering the management and integration scope your business needs.

05

Worked example

Fictional example: Suppose an example month has eighty short office questions and forty longer service requests. Calculate those categories separately using the business’s own duration estimates, then apply the agreement’s rounding rule. The exercise should show why multiplying every call by one convenient average can hide the effect of the longer request category.

06

Review it in operation

Review the difference between estimated and actual minutes by call category before changing the plan or shortening useful intake questions.
