Supplier and vendor calls away from the job queue

Sales representatives and suppliers can consume the same intake path used for customers waiting for service if every call becomes a job request.

01

The decision to make first

Sales representatives and suppliers can consume the same intake path used for customers waiting for service if every call becomes a job request. Create a separate vendor route with approved contact instructions and prevent marketing pitches from entering the urgent dispatch queue.

02

What the handoff should contain

Capture company, caller, business purpose and callback only when the office wants a vendor message; do not request customer-job details.

03

Suggested wording to approve

Example wording: “For supplier or business-service inquiries, I can use the office’s vendor contact route. This line’s service-request process is for plumbing customers.”

04

Test the difficult case

Test a parts delivery update, a general sales pitch and a caller who changes their stated purpose to reach an on-call technician. A caller claiming a delivery emergency should still be routed according to the approved supplier rule, not the homeowner escalation tree.

05

Worked example

Fictional example: A supplier calls about a delayed parts delivery for an existing order. The business-service route should take the order reference and the intended office contact. The request should not appear among homeowner emergencies, and the supplier should not receive customer addresses or technician schedules simply to explain the delivery delay.

06

Review it in operation

Review vendor calls misclassified as customer work and adjust the initial purpose question without making legitimate callers repeat their whole story.
