Resources / Intake

Calls for services your plumbing business does not offer

Callers often use broad terms such as maintenance or repairs that may include electrical, appliance or building work outside your services.

01

The decision to make first

Callers often use broad terms such as maintenance or repairs that may include electrical, appliance or building work outside your services. Ask one clarifying question about the requested work, then follow the approved accepted-service list without suggesting a technical diagnosis.

02

What the handoff should contain

Retain the caller’s service description and the reason for exclusion; avoid creating a normal dispatch item for an unsupported service.

03

Suggested wording to approve

Example wording: “Our approved service list does not include that work. If you think the request has been misunderstood, I can ask the office to review the description.”

04

Test the difficult case

Test a washing machine complaint, an electrical fault and a vague request that actually concerns a plumbing connection. Do not broaden the service promise just to finish the intake, and do not recommend a repair method outside the assistant’s role.

05

Worked example

Fictional example: A caller describes a washing machine that will not start, then explains that water is leaking at a connection. The assistant should clarify the requested work without diagnosing the appliance. Staff receive the caller’s distinction and decide whether the accepted service list covers the request, rather than an automatic appliance-repair commitment.

06

Review it in operation

Review excluded inquiries for misunderstood wording, then improve the clarifying question rather than adding unsupported services to the list.
