The decision to make first
A caller reporting a blocked drain may describe several fixtures and expect a definite explanation of where the blockage is located. Record which fixtures the caller says are affected and whether this is a new or repeat request, without inferring the cause.
What the handoff should contain
Include the reported fixtures, property location, callback, previous request reference if known and the contact window the caller prefers.
Suggested wording to approve
Example wording: “Which fixtures are affected, as far as you already know? I’ll pass that description to the team without assuming what is causing the problem.”
Test the difficult case
Use a scenario with two affected rooms, a caller unsure of the terminology and a previous visit that might be unrelated. Do not ask callers to run tests, mix products, dismantle fixtures or follow repair steps as part of marketing intake.
Worked example
Fictional example: A caller says the sink and shower are affected but is unsure whether the problems began together. The summary should preserve that uncertainty. A statement such as “main line blockage” would fail the test because the caller did not establish it and the assistant’s intake role does not include diagnosing the drain system.
Review it in operation
Compare the intake description with staff clarification to identify confusing questions, while leaving technical findings to the technician’s record.
