Job-status questions through a public plumbing chatbot

A public chat visitor may ask about an existing job, but the website cannot assume that knowing an address proves authority to see its details.

01

The decision to make first

A public chat visitor may ask about an existing job, but the website cannot assume that knowing an address proves authority to see its details. Keep public chat to a status-update request unless a separate authenticated workflow has been designed and tested for customer records.

02

What the handoff should contain

Capture the reference the visitor supplies, callback preference and question for the office without exposing previous notes or appointment details.

03

Suggested wording to approve

Example wording: “I can ask the office to check the status of your request. I cannot show private job information through this public chat.”

04

Test the difficult case

Test a stranger using a real-looking address, a customer with the correct reference and a caller requesting another household member’s details. Do not reveal customer names, access instructions or prior visit history based only on a phone number entered into a form.

05

Worked example

Fictional example: A stranger enters a real-looking address and asks whether a plumber visited there last week. The public chatbot should not confirm a job record or disclose visit history. It can offer a message route to the office, with staff applying the appropriate verification process before any private information is discussed.

06

Review it in operation

Review whether all status inquiries used the approved verification path and whether the public chat stayed within its information boundary.
