The decision to make first
A long transcript may hide the actual service request, forcing staff to read through greetings and repeated questions before returning a call. Create a short summary with the reported issue, location, callback and unconfirmed items, while preserving the original conversation through the approved record system.
What the handoff should contain
Use separate labels for customer statements, approved business answers, requested action and any failed or incomplete handoff.
Suggested wording to approve
Example wording: “Here is the request I will pass to the office: the location, issue you described and callback details. Please correct anything that is inaccurate.”
Test the difficult case
Test a visitor who corrects their address, retracts an earlier statement and adds a second issue at the end. Do not introduce a diagnosis, commitment or price into the summary when neither the customer nor the approved workflow established it.
Worked example
Fictional example: The visitor first describes a bathroom issue, then corrects it to the kitchen and changes the callback number. The final summary should present the corrected room and number while preserving the actual reported issue. A sentence suggesting a cause or guaranteed repair would fail because neither was established in the conversation.
Review it in operation
Ask staff which summary fields saved time and check corrections against the final saved record rather than the first draft.
