The decision to make first
An inquiry missing a callback or service location may look complete in a dashboard even though the office cannot act on it. Define which fields are essential for each request type and mark missing information visibly rather than filling gaps with guesses.
What the handoff should contain
Store the available details, missing fields, reason they are missing and the remaining channel through which staff can clarify them.
Suggested wording to approve
Example wording: “I still need the information required to return or route the request. If you cannot provide it now, I will mark the request as incomplete for the office.”
Test the difficult case
Test a dropped call, a visitor refusing a callback number and a form with only a broad service description. Do not turn an email address into an assumed phone contact or use a previous property address for a new request without confirmation.
Worked example
Fictional example: A caller provides a service address but the connection drops before a callback number is confirmed. The record should show an incomplete contact route, not a guessed number taken from a previous request at that address. Staff can decide whether an approved recovery path exists without mistaking the record for ready-to-dispatch work.
Review it in operation
Review incomplete requests by whether staff could recover them, and improve the earliest question that would have prevented the gap.
