Assigning an owner to every plumbing request

A request can be captured correctly yet remain untouched because everyone assumes another person in the office is responsible for it.

01

The decision to make first

A request can be captured correctly yet remain untouched because everyone assumes another person in the office is responsible for it. Give each request a visible owner or named review queue and distinguish acknowledgment from completion of the underlying service task.

02

What the handoff should contain

Record received time, request category, assigned owner, next action and the status indicating whether that owner has accepted the handoff.

03

Suggested wording to approve

Example wording: “Your request is with the office for review. The next step is staff acknowledgment and confirmation of what can be arranged.”

04

Test the difficult case

Test a request arriving during a shift change and one assigned to an unavailable employee, checking who sees the unacknowledged item. Do not treat an email notification as proof that someone read it or accepted responsibility for following up with the customer.

05

Worked example

Fictional example: A request arrives just before the dispatch lead signs off. The outgoing lead sends a notification, but nobody acknowledges it. The queue should still show unaccepted ownership, allowing the next reviewer to act. A sent message or a closed browser tab must not convert the request into completed follow-up.

06

Review it in operation

Review the oldest unacknowledged requests first and correct ownership gaps before increasing the number of incoming channels.
