The decision to make first
A caller may have reached the wrong business or dialed a recycled number, and a persistent intake flow can make the confusion worse. Confirm the business identity once, then let the caller end or redirect the conversation without collecting unnecessary service details.
What the handoff should contain
Keep a minimal wrong-number classification if needed for operations; there is no reason to create a customer profile or job request.
Suggested wording to approve
Example wording: “You have reached this plumbing business. It sounds as though you were looking for someone else, so I will not create a service request.”
Test the difficult case
Test a caller asking for a different company, a personal contact and a vague department name that could belong to your own office. Do not guess the intended business’s phone number or transfer the caller to an unapproved external destination.
Worked example
Fictional example: A caller asks for a delivery company that previously used the number. The assistant should identify the current plumbing business once and avoid starting service intake. If several such calls appear, the office can investigate an outdated public listing; individual wrong-number callers do not need customer records or callback marketing.
Review it in operation
Review repeated wrong-number patterns to decide whether a public listing or campaign has published the number incorrectly.
