The decision to make first
A rota stored in a staff chat is easy for people to interpret but can leave an assistant using last week’s on-call destination. Use one approved rota record with explicit effective times, a primary contact and backup destinations instead of relying on informal messages.
What the handoff should contain
Include coverage date, timezone, primary, ordered backups, no-answer action and the person responsible for approving the next rota.
Suggested wording to approve
Example wording: “I’ll use the on-call arrangement currently approved for this time. If the listed contacts cannot answer, I’ll follow the same record’s fallback instructions.”
Test the difficult case
Test the exact changeover time, a holiday exception and a missing next-week entry using a fictional service request. A gap or overlap between rota entries should trigger office review, not an arbitrary choice between two technicians.
Worked example
Fictional example: The rota changes at 6 p.m., but the next entry has not been approved. At the boundary, the system should use the documented missing-rota fallback instead of choosing yesterday’s technician. The manager receives a specific gap to resolve, and the caller hears an honest request-taking response without an invented on-call assignment.
Review it in operation
Track calls routed with an expired rota and require a completed changeover test before treating rota publication as finished.
