The decision to make first
A slot visible at the beginning of a call may be taken by another request before the first caller finishes providing details. Require a final availability check at the point of confirmation and define the alternative response when the slot is no longer available.
What the handoff should contain
Keep the requested slot, final availability result, offered alternatives and confirmation identifier separate in the booking record.
Suggested wording to approve
Example wording: “That time was available earlier, but it still needs to be confirmed. If it has been taken, I can record another preference for the office.”
Test the difficult case
Run two controlled requests for one fictional slot and verify that only one can receive a confirmed result. Do not apologize and still confirm both callers; the workflow must fail safely when the scheduling system rejects a conflicting booking.
Worked example
Fictional example: Two test callers reach the final confirmation step for the same remaining appointment. Only the successful calendar transaction may produce a confirmed result. The other caller receives an alternative or review request, with no ambiguous message suggesting the slot was reserved simply because it was visible earlier in the conversation.
Review it in operation
Review conflict errors and ensure staff can identify the affected caller without searching through unrelated calendar entries.
