A plumbing waitlist that does not promise a slot

Customers may want an earlier appointment if a cancellation appears, but a waitlist can be mistaken for a guaranteed priority booking.

01

The decision to make first

Customers may want an earlier appointment if a cancellation appears, but a waitlist can be mistaken for a guaranteed priority booking. Define how staff review openings, how they contact interested customers and whether an existing appointment remains in place while waiting.

02

What the handoff should contain

Capture acceptable time windows, callback preference, existing appointment reference and the date after which the earlier-slot request should expire.

03

Suggested wording to approve

Example wording: “I can note that you would consider an earlier opening. This does not reserve a slot or change your existing appointment until the office confirms a new time.”

04

Test the difficult case

Test an opening outside the customer’s acceptable window, an unanswered callback and an expired waitlist request. Do not automatically overwrite a later appointment when an opening appears unless the customer’s acceptance and the scheduling workflow are verified.

05

Worked example

Fictional example: A customer accepts a later appointment but would prefer an earlier morning opening. An afternoon cancellation appears first. The waitlist rule should not replace the confirmed appointment with an unsuitable time or assume acceptance; the office must follow the customer’s stated window and the approved confirmation process.

06

Review it in operation

Review stale waitlist entries and whether customers understood that an earlier slot still required a separate confirmation.
