The decision to make first
Two appointments can fit neatly on a calendar while leaving no practical time for the technician to travel between service locations. Let the scheduling owner define travel buffers or approved booking zones; do not rely on the assistant to invent realistic driving times.
What the handoff should contain
Include the confirmed service area, assigned schedule, buffer rule and any location requiring manual review before a slot can be offered.
Suggested wording to approve
Example wording: “The office’s schedule includes time between visits. I can only offer times allowed by the tested booking rules for your service location.”
Test the difficult case
Test adjacent appointments in different areas, a corrected address and a slot that appears free only when the buffer is ignored. If location data is incomplete, keep the booking as a request rather than consuming a slot based on an assumed nearby address.
Worked example
Fictional example: Two fictional jobs are in different approved zones, and an open calendar gap excludes the business’s travel buffer. The assistant should not offer that gap as a valid slot. When the customer corrects the address into another zone, availability must be reconsidered rather than retaining the earlier offer automatically.
Review it in operation
Review appointments moved because of travel constraints and improve the approved schedule rule before increasing automated booking volume.
