The decision to make first
A transfer that reaches personal voicemail can sound like success to the calling system even though no technician has accepted the request. Decide whether voicemail is an acceptable destination for each route and define the caller message when acceptance is still unconfirmed.
What the handoff should contain
Keep the destination, observed outcome, message-taking action and ownership status separate; do not mark voicemail as an accepted job.
Suggested wording to approve
Example wording: “This route may reach voicemail. Leaving a message would not confirm a visit; the team still needs to review and accept your service request.”
Test the difficult case
Test a short personal greeting, a long voicemail greeting and a technician who answers but says they cannot take the request. If the workflow cannot reliably distinguish voicemail from a person, label the outcome conservatively and let staff verify it.
Worked example
Fictional example: A transfer reaches a voicemail greeting saying the technician’s name. The name alone does not prove a person accepted the request. If the system cannot establish acceptance, the record should show a voicemail or unconfirmed outcome and preserve the next staff action instead of counting the event as a successful urgent handoff.
Review it in operation
Check transfer records against actual staff acknowledgments before using transfer completion as a measure of successful customer handoff.
