The decision to make first

A customer asking for a new time can accidentally lose the existing appointment if the workflow cancels first and cannot secure an alternative. Agree when the old appointment may be changed and make the replacement state visible before staff or software removes the original.

What the handoff should contain

Record the original reference, requested alternatives, customer preference if no alternative works and the final status of both appointments.

Suggested wording to approve

Example wording: “I can ask about a different time. Your existing appointment should not be treated as changed until the office or tested scheduling process confirms the replacement.”

Test the difficult case

Test an unavailable replacement, a customer who changes their mind and a successful reschedule that must not leave two active visits. If the new time fails, preserve the original status and tell the customer what remains scheduled rather than leaving both states uncertain.

Worked example

Fictional example: A customer asks to replace Thursday with Wednesday, but Wednesday becomes unavailable before confirmation. The test passes when Thursday retains its original state and the caller receives an accurate explanation. A failed replacement must not leave the customer with no appointment or create two active visits that staff need to untangle.
