The decision to make first

A customer waiting for a plumber may ask for an arrival time that the assistant cannot verify from a live dispatch source. Share only an approved, current status if one exists; otherwise capture an update request for the office without estimating travel or job completion.

What the handoff should contain

Include the appointment reference, expected window supplied by the customer, callback and the specific arrival question for dispatch review.

Suggested wording to approve

Example wording: “I do not have a confirmed arrival update to share. I can ask the office to check your visit and contact you with the current information.”

Test the difficult case

Test a visit outside its expected window, an unrecognized reference and a customer asking whether they can leave the property briefly. Do not infer an ETA from the original booking window, a technician’s calendar position or the fact that a previous call ended.

Worked example

Fictional example: A caller’s stated window has passed, but the assistant has no current dispatch update. The assistant asks the office to check the visit and preserves the customer’s callback. Saying “the plumber should be there in twenty minutes” would fail, even if that estimate sounds reasonable from a calendar or map.
