The decision to make first
A temporary integration failure can cause a captured request to remain in the answering system while staff assume it reached the job queue. Separate capture success from destination-delivery success and provide a visible retry or manual handoff path owned by the office.
What the handoff should contain
Keep a stable request identifier, destination, delivery attempts, last error category and the current staff-review status without exposing credentials.
Suggested wording to approve
Example wording: “Your request has been captured. The office will review it through the service process; a software delivery attempt does not itself confirm a visit.”
Test the difficult case
Test a timeout after the destination saves the record, a rejected field and a successful retry using the same request identifier. Avoid creating a new destination record on every retry when the first attempt may have succeeded but its acknowledgment was lost.
Worked example
Fictional example: The receiving system saves the request but the network drops before acknowledgment. A retry should reuse the stable request identity and reconcile the outcome. Creating a new job on every attempt would fail the test even though no inquiry was technically lost, because dispatch would receive several apparent jobs for one customer request.
Review it in operation
Review undelivered requests by age and require a human resolution path for items that exhaust the approved retry sequence.
